Payment terminal
The reenio reservation system can communicate with the payment terminals. This allows you to receive payments from your customers not only on-line but also in person. The customer can pay at any time by credit card, eg at the reception or even at the moment of check-in using his QR code. You can easily accept various payment cards, Apple Pay and Google Pay, in cooperation with the payment terminal and reenio.
Activation of payment support via payment terminals can be found in the administration of the reservation system. You can also separately activate or deactivate the use of payment terminals within the entire system on the given page.
Settings - Payments, credits and VAT - Payment terminal
In principle, two types of payment terminals exist and are supported, namely physical payment terminals (Comgate) and "software" payment terminals. By software terminals are meant those that need additional guest mobile devices to run. Physical ones are those when the terminal itself is a device that only needs connectivity to the Internet, and it also has the option of directly printing receipts, etc.
In the case of "software" payment terminals, it is further assumed that the reenio check-in application is also available on the guest device. Therefore, if there is an active connection in the system with a given type of payment terminal (SumUp, GP Tom), it is then necessary to activate support for a specific terminal in the check-in application. The application will automatically connect to the terminal application and allow you to receive payments for specific reservations. Thanks to this, you can let the customer pay directly at checkout. You can also initiate a terminal payment directly from the reenio system administration environment (you need to have this mobile device within range to make the payment).
In the case of a physical separate terminal, it is only necessary to ensure the possibility of communication between the computer on which the reenio administration is operated and the payment terminal - typically by connecting both devices to one local computer network. On the computer side, it is then necessary to have an add-on installed for the Chrome browser. However, it is no longer necessary to deal with check-in applications or other mobile devices.
The reenio reservation system provides technical integration of the SumUp and GP Tom and Comgate payment systems. In order to use the payment terminal, you must have concluded a contractual relationship between you and the payment channel provider. The reenio system does not ensure payment processing through itself and on its own behalf! The use of the payment terminal is subject to volume charges in the system called credits, you can find more in the system administration.
After successful payment through the terminal, the specific reservation will be marked as paid and the customer can automatically receive a receipt with payment information via the e-mail he entered during the reservation. The entire payment process behaves exactly the same as in the case of payment via online payment gateway, i.e. the payment it is possible to return, a PDF document is automatically sent to the customer with confirmation of payment, etc.
Making payments via terminal
If payments using one of the terminal systems are active, it is possible to pay outstanding reservations through the terminal in two ways. Both of these methods apply to so-called software terminals, where in both cases it is necessary to have a mobile phone on which our application for processing reservations is functional (and logged in) and at the same time also the SumUp application with a paired terminal or the GP Tom application. Of course, the mobile device must also have access to the Internet and payments using SumUp or GP Tom. In the case of physical terminals, only the first method of payment is possible, namely from the administration.
Payment from administration
If you view the details of any reservation in the administration, you can see whether it has been paid or not. If it is not paid, you can directly (with respect to authorization) set the reservation as paid without a system payment - in this case it is not a payment, but only marking the reservation as paid. Such a setting does not in any way create a payment request and is only indicative. At the same time, you can pay for this reservation with customer credits. Another option is to start the payment process through the payment terminal SumUp, GP Tom or Comgate. In this case, the reservation is not only marked as paid, but also a payment is created as such, incl. document.
Just click on the button "Pay with SumUp", "Pay with GP Tom" or "Pay with Comgate" in the details of the reservation. At this point, a request is sent to the terminal, which will enable subsequent payment processing. The application automatically has customer information available, making it very easy to send a payment confirmation directly from the payment application, as well as record payments through the payment terminal system. After successful processing of the payment, the reservation is marked as paid and the record of the payment can be found in the administration in the overview of on-line payments.
These payments are not limited to the payment of reservations, but it is also possible to use this payment process using the terminal when purchasing credits, coupons, etc.
Payment at check-in
This payment procedure is only possible with software terminals, where the direct cooperation of the check-in application and the payment application on one device is used. This is the acceptance of payment from customers at the moment of their check-in, e.g. at the reception or when entering the event. The customer comes to the event with his ticket (QR code), when this code is read by the check-in application and its validity is evaluated. The attendant can immediately see that the reservation is valid but has not yet been paid. In that case, just click on the "Pay with SumUp" button directly in the details of the reservation in the check-in application or "Pay with GP Tom". The application automatically opens the payment application with preset data, and you follow the instructions of the payment application and the terminal. After successful payment, the reservation is marked as paid and the same process as using online payments follows.
Comgate
The Comgate payment terminal is a separate and independent device that can be operated and received payments without being linked to any other system. In connection with our reservation system, it works in a way where a request "Pay using a Comgate terminal" is made from the administration and this request is then sent via the local computer network directly to the terminal, which will process it. The whole process is bidirectional and the system reacts accordingly to what is happening on the terminal side. So the first step is acquiring a payment terminal and concluding a business relationship with Comgate.
Connecting the reservation system and the payment terminal requires:
- activated and functional payment terminal - all matters connected with the operation of the terminal are a matter of the Comgate company and the mutual business relationship with you and the setting of parameters, similar to the case of the on-line Comgate payment gateway
- the terminal must be connected to the Internet and at the same time must be in the same local network as the computer on which the administration of the reservation system is run
- in the settings of the reservation system, you need to enter the IP address and port of the terminal - you can find this information on the basic screen of the payment application of the terminal, we recommend that you ensure a fixed IP address so that there are no problems with the correct configuration over time
- it is necessary to use the Chrome web browser on the computer and at the same time install the extension, see the instructions for setting up the connection with the terminal
When payments are enabled using the Comgate terminal, a button will be offered to start the payment process using the terminal in the corresponding places in the administration (reservation details, coupon sales, credit sales, etc.).
It is possible to have multiple payment terminals (IP address and port) defined in the administration. In this case, within the configuration of the installed Chrome extension (after clicking on the extension icon, the selection of the terminal is displayed), it is possible to specify which specific terminal should be used when invoking the payment process on a specific computer. Thanks to this, it is possible, for example, to have different terminals at different branches, to receive payments from different computers, and at the same time to have everything within one entity or reservation system.
GP Tom
In order to use the "Terminal in mobile", it is first necessary to have a contract with the provider of this payment channel and access data to the business account. To ensure this step, you can use our [quick inquiry form](https://globalpayments.formstack.com/forms/cz_lead_partner?Source=Partner&Source%20detail=GARVIS%20Solutions%20s.r.o&Campaign=&Country=CZ&Opportunity =&Product=&Segment=&Medium=https://globalpayments.formstack.com/forms/cz_lead_partner). As part of your business account, you manage the payment instrument and primarily use the GP Tom mobile application.
From the point of view of the system reservation system, the next step is only to enable GP Tom support in the system administration and in the check-in application. You can then carry out the payment process on the same mobile device on which you have the GP Tom application installed and configured as well as the reenio check-in application.
You can find the GP Tom app for making payments on Google Play, as well as the complementary app GP Tom PIN.
SumUp
To receive payments through the SumUp Air payment terminal correctly, you first need to have a [SumUp account](http:// r.sumup.com/referrals/oCqqz). Within this account, you perform all management and settings related to received payments, invoicing, identity verification, etc. It is also important to have purchased and activated the SumUp Air payment terminal itself, which you can easily purchase through the administration of your SumUp account. More information on how to work with the SumUp terminal and account can be found on the support page. Terminal device type other than SumUp Air is not supported!
From the system reservation point of view, the next step is to link the system to your SumUp account. You can do this in the payment terminal settings, where you only need to log in with your login information to your SumUp account.
You can then find the payment application at (Apple App Store or Google Play).
