Increasingly, services are being offered that are not provided directly, but their consumption is based purely on online communication and online experience in the Internet environment. In addition to the special technical solution of "participation" of customers in such a service, it is possible to easily apply the entire booking process in the usual way. The reenio system thus offers a tool with which it is possible to effectively make a reservation or purchase a ticket for a so-called online event and subsequently ensure the provision of information needed for its use.

The use of online events is especially suitable for webinars, concerts, theater performances, online workshops, meetings, negotiations, presentations or online teaching.

How booking an online event works

Online events are only available for "One single event" and "Voucher" terms.

You can find the settings as a bookmark in the advanced deadline settings. To use online events, it is essential that customers obtain their reservation code!

  1. As a first step, it is necessary to create a standard date that represents the reservation offer. Here it is possible to use all the possibilities that the system and the given type of term offer (prices, restrictions, information, etc.). As part of the advanced settings, you can then specify specific parameters for the online event.
  2. To set the deadline, it is necessary to prepare the online resource itself (type of service), which will be provided to customers. You can choose from several platforms for online broadcasts or online meetings. The reenio system does not provide a technical solution for a specific online event, but provides the possibility of integration and inclusion in the booking process.

  1. After setting the type of service, the specific date is ready to provide customers with information about the online event.
  2. The customer will make a reservation for the given date in the standard way, including selecting the time, filling out the reservation form, paying the price for the reservation, etc. Subsequently, they will receive an e-mail (according to the system settings) confirming the reservation, in which a link to the online event will also be provided. If payment is required and the reservation code is sent only after payment of the amount, the link will be included in the e-mail confirming the payment! To use online events, it is necessary for the customer to obtain their reservation code!
  3. The link sent in the e-mail is an input to the use and consumption of online content. By clicking on the link, the customer is redirected to your reservation page and is asked to enter his reservation code! If he enters the correct booking code, he is allowed access to an external service that provides shared content (content is embedded in the booking page, so-called embedding). The reservation is hereby marked as "Checked in".
  4. Access to the content is controlled by the reservation system (the link to the online event always goes to the pages of the reenio system), which allows you to apply certain rules, especially when checking the reservation code and the time when the content can be accessed! Although the customer is never directly shown a link to the external service itself, it is not technically possible to completely avoid attempts to obtain a direct link to shared content and circumvent protection mechanisms. Therefore keep in mind that reenio does not guarantee the use of external services!
  5. The provision of an online resource within an event is limited by the time set by the deadline. Alternatively, it is possible to extend it by time before / after the deadline, eg to allow customers / viewers to connect before starting the broadcast, etc. If the total time expires, the consumption of the online event is terminated, even within watching!

The reenio reservation system only serves as a technical interface between your customers and the external service providing content. Keep in mind that when sharing content, it is necessary to follow the Terms of Service for a specific service, even with regard to the ways of disseminating and providing your own created content.

FAQ

Can I use online events in FREE mode?

Within the FREE mode, you can set up online events by default and try them out within the administration. To share online events with your customers, you must already have one of the paid packages active! Customer booking codes will not be accepted on the online event page (in case of FREE package)!

How does checking reservation codes work and prevent their multiple use?

The system has implemented certain control algorithms that are able to eliminate multiple use of the same reservation code to participate in online events. If you use individual reservation codes (one code is intended for one use only), then with this code it is possible to monitor the event on only one device at the same time. If you have one reservation code for the entire reservation (reserved capacity is greater than 1), then the system can take into account the number of facilities with regard to the reservation capacity and time interval. The reservation code is applicable for the entire duration of the reservation (plus extension of the time interval according to the settings of the online event), so that it is possible, for example, in case of connection failure to reconnect and continue to participate in the online event.

However, keep in mind that these protection principles only work if the customer participates in an online event on the system site. If in some way (which cannot be completely technically limited) it obtains a direct link to the source of the broadcast, it is not possible to control access to this online content in any way.

How to prevent online content from being distributed outside of reserved customers?

Although the customer is never directly shown a link to the external service itself (but always works with the reservation system link), it is not possible in the technical possibilities to completely try to obtain a direct link to the shared content and circumvent the protection mechanisms. Likewise, it is often not possible to affect the playback content and functionality of the player itself (eg a direct link to YouTube and subsequent sharing of the link below). In some cases, it is possible to use the so-called unofficial player, which limits the ability to play online content to the necessary functions and provides a greater degree of control over shared content by the reservation system. Please note, however, that if you decide not to use the official player of the given platform, due to the specific situation and the content shared by you, compliance with the Terms of Service may not always be ensured.

YouTube

It is the most widespread platform for sharing video content, including support for so-called Live Streaming. You can share any content on YouTube as part of an online event, and of course live streams make the most of that use.

  • For live streaming, you'll need a verified YouTube channel with live streaming enabled.
  • You need to prepare and schedule a live broadcast in advance! This will give you a link to your broadcast, which you can set up as part of an online event. You will then start the broadcast itself at the required moment.
  • We recommend setting the "Privacy" of the transmission to "Unlisted" This will allow access only via a link and limit the possibilities of distributing content on the Internet. If you set this value to "Private" access, only a limited group of users will be allowed, which you must explicitly defined using their Google accounts!
  • Pay attention to the content and quality of the transmission itself, so that your customers/viewers are satisfied - script, environment, technical equipment, etc.

Vimeo

A platform that is more focused on professionals than YouTube. This corresponds to the fact that live streaming, so-called Live Streaming is only available in paid service packages. As part of an online event, you can share any content on Vimeo, of course, it is live broadcasts that make the most sense of this use.

  • For live streaming, you will need a Vimeo account in paid Premium/Enterprise mode.
  • You need to prepare and schedule a live broadcast in advance! This will give you a link to your broadcast, which you can set up as part of an online event. You will then start the broadcast itself at the required moment.
  • We recommend setting the visibility limit to "Hide video on Vimeo" This will only allow access via a link and limit the ability to distribute content on the Internet.
  • Vimeo offers a variety of player customization options, use the settings to give viewers only the features they really need, typically limit content sharing options.
  • Pay attention to the content and quality of the transmission itself, so that your customers/viewers are satisfied - script, environment, technical equipment, etc.

ZOOM

Unlike YouTube or Vimeo, this platform focuses primarily on online meetings and collaborative work. It is thus ideal when, in addition to providing content, you also require feedback and involvement of your viewers, for example in online teaching or training. You can use the mode, which is free. However, only paid packages will provide full-fledged options.

How to run a meeting at ZOOM

Notes and tips

  • FREE mode allows you to run meetings only in a limited number and time. For full-fledged meetings, it is better to use one of the paid packages.
  • It is necessary to prepare and plan the meeting in advance! This will give you the ID and password of the meeting, which you can set within the online event. You will then start the meeting itself at the required moment. Meeting password is required!
  • There is no need to invite individual participants in person, thanks to the entered password, each customer with the correct reservation code will be automatically connected as a meeting participant. Be careful not to restrict this functionality with specific settings, such as disabling the connection in front of the organizer or setting up a meeting for registered users only!
